1 Board Member Orientation Guidebook Welcome to the Butler University Alumni Association (BUAA) Board of Directors! It is my pleasure to congratulate you on your recent appointment and to thank you for your service. We are so glad you have chosen to share your time, talent and treasure with your alma mater. By serving on the BUAA Board of Directors, you are representing an alumni family more than 45,000 Bulldogs strong. Your dedication to Butler and your personal and professional perspectives will make you an integral part of this community. In this guidebook, you will find a number of documents which should help you begin your orientation. This information will provide you with a detailed, up-to-date depiction of where we currently stand and where we want to go. It is our intent to prepare you for success in this new role, which we hope you will find to be an enjoyable one. If you have any questions about these documents, please do not hesitate to ask me. 2 Mission: The Butler University Alumni Association (BUAA) in partnership with the Office of Alumni Relations serve as champions of alumni engagement by inspiring alumni and friends to share their time, talent, and treasure to advance Butler s Mission and Vision BUAA Board of Directors Objectives: Identify and recruit board members and volunteer leaders who will actively participate in fulfilling the Association s mission while at the same time: o Define BUAA and its communities role in campaign o Educate alumni leaders on campaign priorities Recognize outstanding Butler Family/Community achievement Ensure objectives and resources align across all alumni communities and groups Develop student awareness of and commitment to the importance and value of alumni engagement Assist in recruiting the best and brightest potential students Promote the Butler brand among alumni communities and beyond by: o Encouraging alumni to give back to Butler through volunteerism or giving specifically planting the seeds for the campaign o Supporting and promoting Butler programs and events o Strengthening and expanding the Butler network among alumni communities and beyond through support and promotion of University achievements, growth and academic success 1

3 OVERVIEW OF ALUMNI GROUPS BUTLER UNIVERSITY ALUMNI ASSOCIATION The Butler University Alumni Association (BUAA) in partnership with the Office of Alumni Relations serve as champions of alumni engagement by inspiring alumni and friends to share their time, talent, and treasure to advance Butler s Mission and Vision. The BUAA provides general management and supervision of all alumni groups and communities. The BUAA facilitates the annual alumni awards program including the Butler Medal and the Butler Service Medal, which are the highest honors bestowed by the institution. The Chair of the BUAA serves as the official alumni representative on the Butler University Board of Trustees. YOUNG ALUMNI BOARD The Young Alumni Board (YAB) is an advisory board made up of 24 volunteer members who assist in the University in the engagement of graduates of the last 10 years. Members are asked to complete a series of action items that assist the Alumni Office in its mission, while also providing oversight for special events and some development efforts for this audience. BUTLER ALUMNI COMMUNITIES (Formerly CHAPTERS) Butler University alumni communities have been charged with bringing together Butler graduates who live within a defined geographic area. Community steering committees build engagement programs and events, which facilitate networking and goodwill between alumni, while at the same time promoting interests and welfare of the University. Current and former parents, friends, and donors are often included in all community events and news. Listed below, twelve alumni communities currently exist. 4 JORDAN COLLEGE OF THE ARTS ALUMNI COMMUNITY The Jordan College of the Arts (JCA) Alumni Community is the affinity group for those who graduated from the college, with a focus on programming for the Central Indiana area. The steering committee consists of 11 volunteers who are JCA alumni who assist in the programming and activities for the community. BLACK ALUMNI ASSOCIATION The Black Alumni Association (BAA) assists African-American graduates in maintaining strong connections with their alma mater. With programming specifically designed for minority alumni, no matter when they graduated, the BAA provides opportunities to graduates to socialize with fellow graduates and students, network for career opportunities, and serve both the community and Butler University. LGBT ALUMNI ASSOCIATION (Formerly GLBTAA) The LGBT Alumni Association was created to foster interaction between alumni members of the LGBT community and the University. The Association has provided engagement events, student networking, and scholarship support to the University. The Association has struggled in engaging both alumni members and the campus community and has not been active in recent years. PARENT COUNCIL The Parent Council is an advisory board made up of approximately 40 volunteer families who provide insight and perspective on University projects and initiatives. Members also assist as volunteers in efforts to engage current and future Butler families. The group typically is led by an exec team made up of a president, vice president, and secretary. In FY17 the officer roles were suspended while the office reviewed the mission and purpose of the group long-term to provide flexibility in changing the structure if needed. BUTLER UNIVERSITY STUDENT FOUNDATION The Butler University Student Foundation (BUSF) serves as Advancement s direct tie to the student population. They work to build affinity for Butler among current students and to educate students on how to be contributing alumni. They also design programs to connect student and alumni populations EX-OFFICIO MEMBERS OF THE BUAA The Young Alumni Board (YAB) President, the Butler University Student Foundation (BUSF) President, the Black Alumni Association (BAA) President, and the LGBT Alumni Association President serve as ex-officio members of the Alumni Board. Because of their expertise and influence, these members are entitled to participate in meetings of the Board; however, they shall not be entitled to vote on any matter before the Board. 3

6 Committee Assignments and Responsibilities 1. Governance and Executive Committee (Musial chair, McConnell, Myers, and committee chairs; ARE staff lead Kibble) Direct the Alumni Association BOD and act on behalf of the board between regular meetings Review and update, as necessary, BUAA guidelines Timeline for Officer Nominations o Prior to Feb. 1, officer selection committee appointed by Nick (see appendix 9.1 in guidelines) o Officer nomination process opens and applications available Feb. 1 (Nick to send notice to all current BUAA board members and include nomination form and timeline) o Completed applications due February 15 o Interviews for president elect position to take place week of Feb. 18; attendees include Nick, Danny and Jonathan Purvis o Conference call with committee to take place week of Feb. 25 o Recommended slate sent to Administration week of March 4 o Target date for response from administration March 15 o o Recommended officer slate due to all BUAA board members by March 27, sent electronically Slate approved at April 27 BUAA meeting 2. Awards Committee ( McConnell chair, Musial, Myers, Gentry, Mason, Carfolite, Ziemba; ARE staff lead Kibble/Weeden) In conjunction with Executive Director, the awards committee solicits nominations and selects the recipients and alternates for the six awards given annually by the Alumni Association at the annual ceremony held in conjunction with Homecoming. Awards Committee Timeline: o Prior to August 20, awards Web site and nomination form are up-to-date and ready to launch o from Nick to all current and former BUAA members announcing awards solicitation opens on August 20 o Open awards process on August 20 o o o Awards announcement in Oct. 1 Newsflash Reach out to all alumni communities after Homecoming but before Thanksgiving Rob to assign which exec committee members will follow-up with each alumni community and BU partner Nick to solicit nominations from BOT during December 6-7 BOT meeting if necessary, Rob to assign additional follow-up to members of Butler family o Close nomination process Feb. 8 o Research team completes info and packets by March 8 o Award dossier sent to committee members by March 13 o First round votes due to ARE by March 27 members send their top five o First round vote tally sent to awards committee on March 29; revamped dossier sent to committee based on vote tally (this dossier will include everyone s top five choices plus anyone who needs special consideration) o Committee call week of April 8 o Recommendation to Administration April 15 o Committee reviews awards process on 4/27/19 BUAA board meeting o Goal to have approval of recommendation from Administration by May 1 if possible o Acceptance of recommendations complete by Danny by May 24 5

Membership Committee (Myers chair, Musial, McConnell, Cooreman, Sandman, Owings, Greer; ARE staff lead Kibble/Weeden) In conjunction with Executive Director, the membership committee solicits nominations and selects the slate of new members to serve a four-year term on the Alumni Board Membership Committee Timeline: o Open membership process on August 20 o ARE will reach out to carry over nominations to see if they want to update their information (between Aug. 20 Sept. 1) o Committee reviews policy and procedure for selection during 9/27/18 BUAA board meeting o Close membership nomination process Oct. 31 o ARE reaches out to new nominations to see if they accept Nov. 1 o Nomination acceptance and data info completed by all nominees by Nov. 16 o Research team review and basic bio, employment, data, giving history and service to BU completed by December 14 (can be earlier if staff have scheduled holiday PTO) o Completed membership dossier uploaded to BoardEffects by December 19 o First round rankings from committee due to ARE by Jan. 3 (amount of rankings will be determined by Sharon based on total number of nominations) o First committee call week of Jan. 7 o Second round rankings from committee due to ARE by Jan. 16 (amount of rankings will be determined by Sharon based on total number of nominations) o Second committee call week of Jan. 21 (or to occur at the BUAA board meeting) o Recommendations and pertinent info of new member slate sent to Administration on Jan 25 o Response from Administration requested by Feb. 8 o Notification to new members week of Feb. 11 o Acceptance from new members complete by Feb. 22 o Notification to those not selected starts Feb. 25 and is completed by March Emeritus & Communications Committee (Sever chair, Boop, Hickman, Mann, Phillippe, Washington; ARE staff lead TBD) The Emeritus & Communications committee works with the office of alumni relations and engagement to write pithy pride points post-meeting for members to share with their networks and with other alumni communities Provide technology guidance/how-to guides for board members as desired Identify opportunities to strengthen alumni communications examining the NewsFlash, Butler Magazine and other channels. Develop the emeritus BUAA board member program. 5. Student Engagement Committee (Kile chair, Burnett, Rubick, Tarble; ARE staff lead Jones, Hamilton) The Student Engagement committee assists the strategies identified by the Enrollment Management division to recruit the best and brightest potential students to Butler. In addition, the committee will work with the Butler University Student Foundation (BUSF) to facilitate programs and events which educate the student population about the importance of lifelong alumni engagement and philanthropy. 6. Communities Committee (Moore chair, Dits, Jung, Rajpura, Yazicioglu, ARE staff lead Smock & Hamilton) The communications committee works with the office of alumni relations and engagement to continue the development and refinement of the alumni communities program launched in

13 2018 University Advancement Overview The Office of University Advancement strengthens Butler University s ability to make meaningful connections with each and every member of the university community. Strengthening the university s connection between students, alumni, friends, parents/families, corporations, foundations, faculty and staff is critical to both Butler s fiscal stability and academic reputation. Through the integration of alumni and constituent engagement, annual giving, and development, all areas work together to build a culture of engagement and philanthropy that supports the University s mission and aids the success of Butler s 2020 Strategic Initiative. University Advancement is also responsible for planning, coordinating, launching, executing and celebrating Butler s comprehensive campaign, which will include annual gifts, major gifts and planned/estate gifts. Planning is underway but the campaign s timeline and priorities have not yet been finalized. Advancement will work very closely with the Board of Trustees, President, Provost, Deans and Marketing & Communications to design a comprehensive campaign that will help propel Butler University into the next level of higher education. Below is an overview of the Advancement key staff members and their functional responsibilities; all report directly to the Vice President and make up the Advancement Senior Leadership Team (SLT): Major Gifts and Planned Giving Mike Eikenberry, Executive Director Responsible for recruiting, training and managing a team of major and planned giving officers focused on securing significant new gifts and commitments ($50,000+ over 5-year period or through estate planning) from alumni, parents, friends, etc. Works closely with all college deans, athletics and arts to ensure major and planned giving is supporting each units strategic objectives Advancement and Campaign Betsy Weatherly, Senior Executive Director Manages Butler s Corporate & Foundation Relations program Serves as Advancement Liaison to the President s Office and Mrs. Danko Serves as Campaign Director for Butler s current comprehensive campaign Oversees Donor Relations & Stewardship department, which is responsible for : All gift acknowledgement correspondence Gift agreement development and monitoring Endowed Fund reporting Donor Relations events 12

14 Advancement Services Stacey Orme, Senior Director Manages the departments that are truly the backbone of Butler s Advancement operation and provide support to all fundraising and engagement activates. Departments include: Research & Prospect Development Data Management and Analytics Gift Processing Reporting Annual Giving Mark Brouwer, Executive Director Manages all programs focused on securing annual gifts that primarily provide budget relieving support to Butler s daily operations. Responsible for: Telefund Programs Direct Mail E-appeals/web-based appeals Ovid Butler Society Face-to-face solicitations for leadership annual gifts ($1,000+) Alumni and Engagement Programs Danny Kibble, Executive Director Facilitate strategic and robust programs which engages the President, Executive Council, trustees, faculty, students, alumni, families, and friends in order to educate, involve, and cultivate the philanthropic support of our more than 45,000 alumni Manage and grow all activities of Butler University Alumni Association including our 10 regional alumni chapters (Atlanta, central IN, Chicago, Cincinnati, Detroit, Fort Wayne, New York City, St. Louis, San Francisco Bay, and Washington DC), Young Alumni Board, Black Alumni Association, JCA Alumni Community, the Butler University Student Foundation and the LGTB Alumni Association Build a sustainable volunteer program to ensure Butler University s graduates are provided with meaningful opportunities to engage with and assist in University growth Plan and execute signature events and activities associated with Homecoming, reunions, Family Weekend, Top 100 Student Program, and Dinners with 10 Bulldogs, along with networking and business development activities, regional service projects, and presidential tours Executive Assistant to the Vice President Gina Donahue Provides administrative support to the Vice President Provides VP with support related to Board of Trustees (outreach, meeting minutes, gathering materials for meeting, etc.) Manages VP s calendar, helps secure appointments, and drafts correspondence Oversees cross-training for all Advancement administrative staff to ensure quality control and adequate coverage Coordinates and manages onboarding for all Advancement staff 13
