1 Wayland Transportation Guidelines for Weekends and Breaks, These guidelines were established to ensure safe, convenient transportation for students. They are modified yearly based upon feedback from parents, students and faculty. Please read the following pages carefully and follow the dates and times listed so we can best serve your child. Please contact Ms. Amanda Damon, Transportation Coordinator, with all travel questions. She may be reached via , or by cell phone, (920) Weekend Permissions In order to leave campus overnight, students submit a weekend permission slip signed by their coach and Mr. Hill, then submitted to the Dean of Students Office. If the student has a D or F in any course, the teacher of that course also must sign the weekend permission slip. Parent permission is also needed for overnights off campus. If students stay with someone other than a parent or guardian, the Academy requires advance permission from a parent AND from a responsible adult at the student s destination. Note this policy change: All parents and hosts send permissions to Ms. Grebel at agrebel@wayland.org or (920) , ext Wayland is not responsible for students while they are at off campus sleepovers. Students are expected to follow all school policies whether they are on or off campus. The weekend slip deadline for students requesting school transportation is Wednesday at 1:00 p.m. The deadline for those who do not need school transportation is Thursday at 1:00 p.m. Please plan ahead; weekends may only be approved with proper permissions. Weekend Departures Wayland Academy provides student transportation to the following locations: Madison Dutch Mill Park/Ride: 4:30 p.m. Friday bus departures from Madison Madison Airport: Friday airline departures AFTER 6:00 p.m. Columbus Amtrak: Northbound train departure ONLY; 5:05 p.m. departure time These locations are not available for Thanksgiving, winter, or spring breaks Weekend Arrivals Wayland Academy provides student transportation from the following locations: Madison Airport: Sundays, ONLY arrivals before 5:00 p.m. Columbus Amtrak Station: Northbound train arrival ONLY at 5:05 p.m. These locations are not available for Thanksgiving, winter, or spring breaks Please note the Wayland Academy transportation fees on the following page. Stay in Touch Be sure your student can communicate while traveling. Cell phones with U.S. calling plans, or devices with international data and Wi Fi, are highly recommended. Also, be sure your child has Ms. Amanda Damon s contact information: adamon@wayland.org, (920) , and keep Ms. Damon updated immediately about any travel changes or delays.
2 Academic Day Travel may not be arranged during the academic day (8:00 a.m. to 3:40 p.m.). If a student must miss class time, he or she must be in good academic standing and receive permission from Mr. Hill (Academic Dean) well in advance. Since our breaks are generous, extra days off result in unexcused absences. Emergency/Unexpected Travel Occasionally, students need to leave campus for funerals, family emergencies, etc. Please book tickets for all travel exceptions through Madison (MSN) or Dutch Mill Park/Ride (Van Galder Bus). During busy times such as the academic day, it may be necessary to send your child to Madison via taxi. Hotels/Hosts: Students may NOT stay in hotels alone or stay with hosts who are under 21 years old. Students must be with an approved adult chaperone for all overnight stays. Reservations This year, we are adding a new service for the convenience of our families! Travel Leaders, a global travel company, has agreed to book flights for our students. This service allows families to simply call and let Travel Leaders do all the work for you. They will find the best rates for domestic and international flights that work within Wayland s travel guidelines. Extended emergency assistance is also available in cases of cancellations or delays for an extra fee. How does this Travel Leaders program work? Families contact Travel Leaders directly to reserve their flights. Wayland does not profit from this service; this optional service is simply for your convenience. All payments are handled directly through Travel Leaders, not through the Academy. 3 Transportation Fees for Wayland Academy Madison Dutch Mill Park/Ride $30 one way Madison Airport (MSN) $30 one way Columbus Amtrak (CBS) $10 one way Unaccompanied Minor fee $25/hour Coach Bus with a Wayland faculty member Thanksgiving, Winter Break, Spring Break ONLY Chicago Airport (ORD) $65 one way Milwaukee Airport (MKE) $30 one way *Note: Wayland Coach bus reservations are non refundable Unaccompanied Minors Check your airline s "Unaccompanied Minor" policy. If your child must travel as an "Unaccompanied Minor," Wayland Academy will arrange for an extra faculty member to accompany him or her. An additional $25/hour charge will apply for this service. Waiting Times As we work to accommodate all students, your student may have to wait a while for Wayland Transportation at the airport, train station or bus stop. Cost Savings Students arrive over several days in August and leave over several days in May, so we can only offer school transportation via Madison at these two times. Save yourself some money by buying a round trip airline ticket to Madison in August, with a return ticket in May! For the other breaks, simply buy a roundtrip ticket from/to Chicago or Milwaukee. Scheduling Please see the following pages for specific information about travel times. Since we have around 200 students to accommodate, it is very important that families book travel only at these times and dates.
4 August 2018 Arrivals VERY IMPORTANT: All Magnus paperwork must be completed before your child arrives on campus. We cannot accept your child into our care until we have all appropriate paperwork. Football Camp preferred arrival time between 10 a.m. and 12:00 p.m. Wednesday, August 15 Prefects arrival (Monday or Tuesday) Monday, August 20 Other Athletic Camps (cross country, tennis, soccer, volleyball) and Prefects preferred arrival time between 10 a.m. and 12:00 p.m. NEW International Students arrive between 10 a.m. and 2:00 p.m. RETURNING International Students and ALL Domestic Boarders arriving by plane arrive between 12:00 p.m. and 9:00 p.m. Day Students, NEW and RETURNING Domestic Boarders arriving by car Tuesday, August 21 Wednesday, August 22 Friday, August 24 Saturday, August 25 NO TRANSPORTATION AVAILABLE Sunday, August 26 Orientation activities all day for students and faculty Parent/Family Transportation: Please follow the above arrival dates and tell Ms. Amanda Damon when you will arrive. Wayland pick up times are 11:00 a.m., 2:30 p.m., 5:30 p.m., and 7:30 p.m. ALL Madison flights should arrive BEFORE 7:00 p.m. Flights landing after 7:00 p.m. may require students to arrange a taxi back to Beaver Dam. Average cost from Madison is $100. Avoid late night arrivals, please! School transportation is NOT available from Chicago or Milwaukee in August. Early Arrivals for Athletic Camps August athletic camps are optional, allowing interested students to return early and work hard on their skills. Boarding students stay on campus for athletic camps, and day students go home each night. Student Registration: Saturday, August 25 in Swan Library 9:00 a.m. to 11: 00 a.m. for students not participating in Athletic Camps, Prefect Training or International Student Orientation Students participating in Athletic Camps, Prefect Training or International Student Orientation will register on Thursday, August 23 (times to be provided to these groups individually) Student Leaders International Student Leaders and New Student Orientation Leaders will be chosen from the returning students attending Athletic Camps.

Bus leaves Wayland at 4:00 p.m. on Friday, November 16. Milwaukee (MKE) flights should depart AFTER 7:00 p.m. Chicago (ORD) flights should depart AFTER 8:30 p.m. OPTION 2 Saturday Coach bus from Wayland Academy to Milwaukee (MKE) and Chicago (ORD). Bus leaves Wayland at 5:00 a.m. on Saturday, November 17. Milwaukee (MKE) flights should depart AFTER 7:30 a.m. Chicago (ORD) flights should depart AFTER 10:00 a.m. *NOTE Once a bus reservation is made it is NON REFUNDABLE. Parent/Family Transportation Students may leave with parents or other adult friends/family members after 3:40 p.m. Friday, November 16. In cases of flight delays, late Chicago arrivals will take the Van Galder bus to Madison at Dutch Mill Park and Ride, and Ms. Damon will coordinate taxi services from Madison (Average cost $30 for bus plus $100 for taxi). Students arriving on international flights will have first priority on the 4:00 p.m bus OPTION 2 Sunday Coach bus from Milwaukee (MKE). Bus leaves Milwaukee (MKE) at 7:30 p.m. on Sunday, November 25. Bus leaves Wayland at 2:00 p.m. on Friday, December 14 Milwaukee (MKE) flights should depart AFTER 5:00 p.m. Chicago (ORD) flights should depart AFTER 7:30 p.m. There is NO transportation available during the academic day exam schedule. OPTION 2 Saturday Coach bus from Wayland Academy to Milwaukee (MKE) and Chicago (ORD). Bus leaves Wayland at 5:00 a.m. on Saturday, December 15. Milwaukee (MKE) flights should depart AFTER 7:30 a.m. Chicago (ORD) flights should depart AFTER 10:00 a.m. *NOTE Once a bus reservation is made it is NON REFUNDABLE. All students must thoroughly clean their rooms and check out with a dorm supervisor before departing Wayland. Departures Wayland Transportation Options for UNDERCLASSMEN OPTION 1 Friday bus from Wayland Academy to Madison Airport (MSN) and Dutch Mill Park/Ride. Bus leaves Wayland at 2:00 p.m. on Friday, May 24. Madison (MSN) flights should depart AFTER 3:45 p.m. All students must thoroughly clean their rooms and check out with a dorm supervisor before departing Wayland. Students departing at 2:00 p.m. need to check out earlier in the day. There is NO transportation available during the academic day exam schedule. 10 Frequently Asked Questions Can my child stay at Wayland over break? No. Wayland dorms are closed over breaks, with no supervision available. For the safety and security of your student, families must make appropriate plans for these times. Students and their families must arrange their own accommodations as Wayland does not arrange host families for students. Could my child leave a day early for break or return a day late? No. We do not want students to miss valuable class time, which is why we ask students to not extend breaks. How will you find my child at the pickup location? We will give your student a map of the airport/station with pickup locations. Students will be picked up at Starbucks in the terminal 2 arrival area at O Hare. Madison and Milwaukee Airports students will be updated. Please make sure your student has access to technology while traveling. Cell phones and tablets with international data and Wifi are highly recommended. Be sure your child has Ms. Damon s contact information: adamon@wayland.org, (920) Why can t Wayland take my child to Chicago on weekends? This three hour trip each way is difficult to arrange and is costly, especially for just one or two students. With this in mind, we arrange to take students to Dutch Mill, where they can schedule the appropriate transportation to and from Chicago. Can I just call with weekend permission for my child, so he doesn t have to do a weekend slip? We do need your permission for overnights off campus, but we also want your child to make his/her own arrangements when possible. This helps your child develop personal responsibility and self reliance. Weekend permission slips help us ensure that we know where all students are, that they have the proper permissions, and that they do not miss classes or any other important events. What if my child s flight is changed or delayed? You or your child should immediately call Ms. Damon at (920) and keep her updated about travel changes. We will make every effort to pick up your child from the airport when he or she arrives. If the flight arrives in Chicago or Milwaukee, your child may have to ride the Van Galder bus to Madison or take a taxi back to Beaver Dam. Ms. Damon will guide you regarding the best option. Do I have to send my child as an Unaccompanied Minor? What does this mean? Check your airline s "Unaccompanied Minor" policy. This means an adult must stay with your child at all times until his/her flight takes off or after it lands. If your child travels as an "Unaccompanied Minor," Wayland Academy will arrange for a staff member to accompany him or her. An additional $25/hour charge applies for this service, and it covers the time from our regularly scheduled drop off or pick up until your child s flight departs or arrives. For example, if the airport pick up is scheduled at 5 p.m. and your child arrives at 3 p.m., you would be charged the regular Wayland transportation fee plus an extra $50 for the unaccompanied minor service. This pays for an extra faculty member to meet and stay with the unaccompanied minor at the airport.
