1 The University of Southern Mississippi AOP General Meeting Tuesday, March 7, 2017 Noon 1 p.m. 1.0 Call to Order The meeting was called to order at 12:05 pm. The members present were: Cory Williams, Jennifer Lewis, Jewel Adams, Alfreda Horton, Lucy Cameron, Karen Shaw, Sequitta Haley, Elizabeth Killinger and Cindy Walker. 2.0 Adoption of Agenda. Jewel made the motion to adopt the agenda. Lucy Cameron seconded the motion. Motion carried. 3.0 Inspiration 4.0 Approval of Minutes 4.1 October January 2017 Jewel made the motion to adopt the minutes from October 2016 and January Jennifer Lewis seconded the motion. Motion carried. 5.0 Communications No communications were presented. 6.0 Officer and Committee Reports 6.1 President Cory Williams Board has been working on the bylaws. Primarily changes to committees. Will send out by end of next week. Planning the Membership Appreciation Luncheon for June. This will possibly be a joint event with Gulf Park via IVN. The Southeast Area Conference for NAEOP is at the end of this month in Gulfport. If you are able to attend, I recommend it as a good training opportunity, as well as to network with out of state colleagues. Elizabeth, Jennifer and I will be presenting on technology and collaboration. AOP is submitting our Winter newsletter to the NAEOP newsletter contest. Elizabeth has done a terrific job putting it together this year. NAEOP has a number of scholarship opportunities with submission deadlines of March 15 th.
2 Marion T. Wood student scholarship for a business education student. This is one application from the local association, and requires us to donate at least $20 to the fund. Student w/special Needs scholarship for a special needs high school student that intends to pursue a post-secondary education Marion T. Wood member scholarship for members pursuing a PSP certificate or a college degree (if they already have their CEOE) Mona Smith member dependent scholarship for a dependent of a NAEOP member For those attending the NAEOP annual conference, there is an Educational Reimbursement Incentive to assist with fees. There were 15 in attendance. As of date AOP has 68 members: 38 new, 18 renewed, 6 associates, 6 honorary 6.4 Secretary Alfreda Horton No Report 6.5 Budget Lucy Cameron (Attached As of date, a summary of transactions for the USM AOP Development Budget and the USM AOP Checking Account BancorpSouth) 6.6 Gulf Park Karen Shaw Planning the Snow Cone Social. More information is to come. Estimate 9-18 attendees. They will walk as a group to the venue, which is 1 mile away. The Gulf Coast has 9 members, with a working Task Force of four who will plan the remaining events for the year. April 9, 2017 Book Club Discussion
3 6.7 Affiliations Sequitta Haley Submitted a sample announcement for Educational Office Professional of the Year and Educational Administrator of the Year. Emphasized Guideline 4 stating that the nominee must be a member of MAEOP and NAEOP. 6.8 Community Service & Publicity Elizabeth Killinger Collected/Delivered office supplies to William Carey staff. There is an upcoming supply drive for the domestic abuse shelter. Supplies needed are sheets twin and full sizes, pillow cases, pillows, and blankets. Leftover supplies from the William Carey drive will be given to the domestic abuse shelter. Submissions for the April newsletter are due by March 31, After the April newsletter, the newsletter will be distributed monthly starting in June. A feedback link has been added to the web page. 6.9 Ways & Means Katie Kitchens No Report Professional Standards Program Pam Posey A PSP Seminar is scheduled in May by IVN. 7.0 Old Business 7.1 Fundraiser Update 8.0 New Business 8.1. Nominations and Election Committee Appointments Jewel Adams has agreed to Chair this committee. The names of appointed committee members will be announced later. 8.2 Purchase of speaker gifts Marble paperweights for $6.50 each. Cory and Jennifer went on to view products. Proof should be sent to Jennifer in the next few days. Plaque will say Thank you for your service to the Association of Office Professionals and have the dome underneath that wording. Quote is for Reimbursement/Scholarship for AOP members attending Affiliate Functions/Events In progress waiting on Pam to find information from the last time we did it.
