3 ASCE/AISC National Student Steel Bridge Competition Host Guide Overview Congratulations on being considered to host the ASCE/AISC National Student Steel Bridge Competition (NSSBC). While not exhaustive, this booklet will provide you with guidelines for the planning of the competition. The Student Steel Bridge Competition (SBBC) is a cooperative effort between the American Institute of Steel Construction (AISC) and the American Society of Civil Engineers (ASCE). The SSBC, which began in the 1980 s as an AISC competition between three universities in Michigan, has been incorporated into the ASCE Student Chapter spring conference events. Today, 18 ASCE student chapters host SSBCs with more than 200 schools participating. Teams come from universities in the United States, Mexico and Canada to compete in the event. The winners of the conference competitions advance to the national competition. AISC is the primary sponsor for the National Student Steel Bridge Competition and works closely with the national host university in planning the NSSBC. The national host school usually forms its NSSBC planning committee through its ASCE student chapter. A student director is chosen and works with a faculty advisor to lead the planning. Typical subcommittees of the planning committee are fundraising, recruitment of judges, publicity, facilities and contracts, program, technical setup, registration, and competition volunteers. It is the hope of AISC and ASCE that each national host school takes it upon themselves to personalize their event, but it is necessary to be communicative with AISC and ASCE during event planning and the competitions. Conference Competitions and the Rules Document The 18 ASCE conference competitions are organized independently by each of the 18 ASCE conference host schools. However, all of the conference competitions, as well as the national competition, are based on the same Rules document that describes the competition and states the official rules. The rules are developed by the SSBC Rules Committee, and are changed every year. The current rules must be used without modification for every conference competition and the national competition. This is necessary so that bridges from all conferences may compete nationally without disadvantage. AISC maintains a website, throughout the year where the rules can be downloaded and rules questions addressed. Rules questions may be submitted only through the official online forms. Rules questions are reviewed by the national rules committee, and the rules committee s clarifications are posted on-line for access to all competitors. Conference competitions are held during the spring with most of the competitions taking place during March and early April. The conference competition schedule is posted on the ASCE website. The number of teams from each conference competition that qualify for the Feb pg. 2
4 ASCE/AISC National Student Steel Bridge Competition Host Guide national competition is dependent on the number of non-guest teams that have entered the conference competition. If four or fewer bridges are entered into a conference competition, the top team only is invited to the nationals; if five to thirteen bridges are entered into a conference competition, the top two qualifying teams are invited to nationals; if fourteen to twenty-one bridges are entered into a conference competition, the top three qualifying teams are invited to nationals; and if more than twenty-one are entered the top four qualifying teams are invited. Guest teams are not included in the count of participating teams. Approximately teams will qualify for the national competition. The National Host school s team is invited to the National competition whether or not they have qualified through their conference competition. National Student Steel Bridge Competition The NSSBC traditionally takes place over Memorial Day weekend. Planning for the national competition begins during the year before the host year. A typical planning timeline for the national host school is shown below. National Host Planning Guide Timeline Year Prior to the Competition Year Feb.-March 1. Selection of the following year s national host school. 2. AISC visit to host school for review meeting and venue site visits. Feb.-May 1. Host school to design a logo for the competition. 2. Host school to prepare an invitation to the competition. Most schools prepare a video invitation. 3. Host school to appoint a faculty advisor and student director(s). 4. Host school to organize an NSSBC student planning committee. 5. Host school to develop a preliminary budget and projected student/school registration fees. May-NSSBC 1. Host school faculty advisor and student director (and others as determined by the host school) attend the current NSSBC to observe the competition. AISC will pay travel expenses for up to two student directors to attend and assist at the current competition. 2. At the current competition awards banquet AISC introduces the following year host school. The student director(s) extends an invitation to the following year competition. This invitation often is in the form of a video presentation. May-Sept. 1. Host school to continue planning. 2. All competition venues should be finalized with signed contracts. 3. Recruitment of judges should be under way. 4. Fundraising efforts should be ongoing. 5. The current host school ships national competition measurement and loading equipment to the following year s host school. AISC arranges Feb pg. 3

The new host school should determine the storage location for competition equipment before the current year national competition so that shipping can occur as soon after the competition as possible. An estimated 300 square feet of storage space is required. Some storage may be outdoors. Specifics regarding outdoor storage must be reviewed with AISC before finalizing plans. October 1. At the beginning of October, AISC and the national head judge will visit the host school for a planning meeting with the faculty advisor, the student planning committee and whomever else the host school thinks should attend. 2. The host school takes an inventory of the national competition equipment to verify that all equipment has shipped and is in working order. 3. Ongoing planning activities, recruitment of judges and competition volunteers, and fundraising continues. 4. Host school sets up a competition web site. Host Year January 1. A second campus visit by AISC and the national head judge as required. 2. Ongoing planning activities. 3. Finalize registration fees. 4. Begin development of competition and banquet program books. 5. Provide detailed information on the competition website. Mar./April 1. Host is to test national competition deflection equipment at their conference competition. 2. AISC and national head judge to attend planning meeting at the host school as required. 3. Host school to send invitations and registration packets to the qualifying teams. May 1. National Student Steel Bridge Competition. A detailed schedule of events for the weekend of NSSBC is shown on the following page. 2. The host school is an invited competitor at the national competition regardless of whether or not its team has qualified at the conference competition. Feb pg. 4

During the display judging all of the bridges will be erected and on display at the same time in the same location. A variety of display spaces have been used in the past, i.e. plazas, baseball fields, gyms, etc. An area of approximately 8 x24 (this includes aisle space between bridges) will be required for each bridge. The host school should discuss the options for display with AISC and the national head judge. Locations for bridge unloading and loading also must be established. See attachment 1 for a sample display layout. On Saturday, approximately 20,000-25,000 square feet (includes space for spectators) of indoor level concrete floor space is required for the main competition. Typically, five build lanes, nine loading sites, one weigh station and a scoring station are operating simultaneously at the national competition. See attachment 2 for a sample layout. Ample parking also should be available near the competition venue for judges, rules committee members, and competitor loading and unloading. It is helpful to have an area on campus near the competition venues (such as a parking lot) that can serve as a practice area throughout the weekend for all competing teams. 10 Feb pg. 5
7 ASCE/AISC National Student Steel Bridge Competition Host Guide A break room with snacks and drinks should be provided for the use of judges and volunteers during the competition. Lunch should be provided for all involved in the competition on the Saturday of the main competition. Rules Committee and Judges The rules committee consists of members appointed by AISC and ASCE. On the Friday morning of Display and Sunday morning after the competition the rules committee meets to begin the development of a set of rules for the following year s competition. The rules committee also works throughout the year responding to student questions. The rules committee meetings will be arranged by AISC. The national head judge is a member of the rules committee, and is appointed by AISC. All other judges are volunteers for the competition weekend and must be recruited by the host school. A minimum of approximately forty judges are needed for the competition. No previous judging experience is required. Steel fabrication companies are good sources of judges. Structural engineers, erectors, architects, and others associated with the steel construction industry also make good judges. All judges report to the national head judge. More specific details of the judges duties will be discussed during meetings with AISC and the national head judge. Feb pg. 6
8 ASCE/AISC National Student Steel Bridge Competition Host Guide Meetings Several meetings will have to take place during the competition weekend. It is the responsibility of the host school to arrange facilities and meals and/or equipment for these meetings. The required meetings are: Time/Day Event Equipment Required Approx. Attend. Friday, 7 a.m. 11 a.m. Rules Committee Breakfast * Flip chart, projector 11 Friday, 11:30 a.m.-2:30 p.m. 60 Friday, 5:30 p.m. Judges Luncheon and review meeting for rules committee and all judges.** Captains meeting - to be attended by the rules committee, the judges, and representatives of each of the competing teams. During the captains meeting the rules are reviewed, questions are answered, and checks and certificates are distributed. Lavaliere microphone, full size sample bridge, selected judging equipment, riser for bridge, flip chart White board, lavaliere microphone, two handheld microphones on stands Sunday, 8 a.m. Rules Committee Breakfast.* Flip chart, projector * AISC will arrange and pay for the two rules committee breakfast meetings. ** The host school makes arrangements for the Judges luncheon. AISC will pay for the luncheon. Awards Banquet The host school is responsible for all Banquet arrangements. In recent years, approximately 650 people have attended the banquet. Tables should be reserved for sponsors, rules committee, judges and representatives of the next host school. Usually, there is a keynote speaker who talks for about 10 minutes. Audio/visual equipment also should be provided. See attachment 5 for a sample banquet program. Volunteers Volunteers are needed to ensure the competition runs smoothly. In addition to judges, approximately 40 volunteers are required for registration, bridge marshals (25 required), load stations, and runners. Specific details of volunteers duties will be discussed during meetings with AISC and the national head judge. Feb pg. 7
9 ASCE/AISC National Student Steel Bridge Competition Host Guide Equipment The host university will receive the necessary deflection measurement and loading equipment for the competition, except that the host school will need to provide approximately seven computers and a printer. Items that will be provided include angle steel, weights, buckets, testing devices, stop watches, and a multitude of others see attachment 3 for a full listing of equipment. It is the host school s responsibility to unload, maintain and reload the equipment for shipment to the next competition location. AISC will arrange and pay for shipping of the equipment. Competition T-Shirts The host school provides competition t-shirts for the competitors and all volunteers. Competition t-shirts are to be provided in the registration packets and for all volunteers. It is important that separate t-shirts are provided for the bridge marshals of a color that will stand out from all others at the competition. Competition polo shirts are to be provided for the judges. Usually, t-shirts also are provided for the planning committee and other volunteers. Lodging The host school will be required to reserve approximately 140 hotel rooms for the Thursday, Friday and Saturday nights of the competition. Generally hotels will give a group discount. Hotel information should be provided in the registration packets and to sponsors, and judges. It is also necessary to arrange for a late cutoff date, since most teams will not be arranging travel until after the conference competitions. When reserving room blocks, we suggest the host school try to not provide a guaranteed minimum number of room nights. Communications/Media A team of students should work together to create effective video, print, and web advertisements for the national event. A logo for the national event and a promotional video should be completed prior to the host school introduction at the awards banquet. AISC maintains the website for Rules and Clarifications. However, the host school is expected to create and maintain a separate website as a source of information and registration for all qualifying teams, sponsors and judges. The basic framework for the site should be running by the fall and should be fully functional before February. Print publications also will be necessary. Registration forms, sponsorship prospectuses, as well as a competition program booklet and an awards banquet program will be required. Competition booklets are an excellent place to sell ad space or showcase sponsors. The host school will be responsible for gathering and posting local sponsor, national sponsor and university logos properly. Do not download logos directly from websites - contact each company s graphic department to receive the most current logo. Contact AISC for national sponsor logos. Feb pg. 8
10 ASCE/AISC National Student Steel Bridge Competition Host Guide Funding/Sponsors AISC will provide a $10,000 donation to the host school and $500 or $1,000 to each participating school. AISC provides plaques for the top 3 overall national winners, and to the top three schools in each of the six different categories of competition. AISC also pays for the two rules committee breakfasts and the judges luncheon. The host school is expected to fund the remainder of the competition. Costs per national competition vary from location to location. The host school should carefully prepare a budget and create a proactive fundraising campaign. A successful fundraising campaign will help keep registration fees low for each team. Registration fees are set by the host but should not be excessive. The goal is to keep this cost as low as possible. In recent past years typical registration fees have been about $100/student. AISC and ASCE are the organizing sponsors of the National Student Steel Bridge Competition. Currently, there are eight national co-sponsors. They are Nucor Corporation, American Iron and Steel Institute, Canadian Institute of Steel Construction, The James F. Lincoln Arc Welding Foundation, Bentley Systems Inc., National Steel Bridge Alliance, DS SolidWorks, and the American Galvanizers Association. National co-sponsor contributions are not applied to the host school s direct expenses. The national organizing sponsor and co-sponsor logos should be included in the competition program booklet and banquet program. Where possible the host school should provide tables for sponsors displays during the registration and display portions of the competition.
