It is my pleasure to personally thank you for your dedication to SNA, the school nutrition profession, and the students you ensure are prepared for success every day. We greatly appreciate your commitment and your leadership. Your year as President should be an exciting one! You ll work with great people in your state, network with other school nutrition professionals from across your state and the country, and have the chance to learn and make an impact. In this handbook, you ll find information to help you feel confident and prepared for your year as a state leader. State board member job descriptions, strategic planning guidance, membership recruitment and engagement techniques and more are right here at your fingertips. Along with this handbook, we have a network of leaders and staff at SNA who are ready to assist you, help you connect to your peers, and provide you with the materials and knowledge you ll need for a successful year. Your SNA Regional Director is a great resource for you! Your SNA Regional Director is a main link to the national SNA and can help you navigate your new position. 6 SNA Regional Directors SNA Regional Directors are members of the SNA Board of Directors who act as the primary link between state associations and SNA for all of the states in their assigned region. SNA Regional Directors are available to answer your questions, provide you with support, and bring your concerns and successes back to SNA. 8 SNA Leadership Visitation Policy SNA Officer State Visits SNA policy provides for a visit by the SNA president or other SNA officer to each state association once every 4 years at SNA s expense AND for each state s SNA Regional Director to visit the states in his or her region once during his or her 2 year term at SNA s expense. The purpose of the visit is to: Promote understanding of and support for SNA s mission and vision Strengthen the SNA/state association partnership Encourage effective communication between SNA leaders and state association The schedule of visits is arranged in 4 groups to accommodate SNA s budget parameters and the schedule constraints of SNA s volunteer leaders. State associations must issue an invitation, based on the schedule provided by SNA, to the SNA leader to ensure that arrangements are made and the SNA leader is prepared for the visit. Please issue the invitation early to facilitate scheduling by completing the state visitation request form. The SNA officer s participation in the state conference should include time to present a SNA update or other presentation, based on the needs and interests of your state association members. It also may include an installation ceremony. A list of available presentations will be provided by SNA headquarters. SNA State Visitation Policy President, President-Elect or Vice President: SNA will pay 100 percent of the expenses of the national president, president-elect, vice president or other designated Board of Directors member to attend a state association function once in a 4-year period. Expenses for any additional visits to a state association function during this time period will need to be 100 percent paid for by the state association. Regional Directors: SNA will pay 100 percent of the expenses for a regional director to attend one meeting or function in each state in his or her region during his or her 2-year term. SNA Headquarters Staff: SNA will help support SNA staff to attend state functions as permitted within budgetary limitations. Guidelines When Hosting a National Officer Hosting a national board member at your state conference is a great way for your members to connect with the national SNA, network with a national leader and hear a presentation on a topic of interest or updates from SNA from a respected, experienced individual. National board members are committed to helping make your state conference a success! 8 Chapter 1: Welcome to SNA
9 Below are guidelines to help your state association prepare for hosting a national board member and assure that your conference goes smoothly. Before the Visit: Extend an invitation to the national board member Complete the State Visitation Request Form and send to the Board of Director member who you are inviting AND the Executive Office at SNA Headquarters Provide the board member with details about the conference: o When is the conference? o What days should the board member plan to attend? o Where is the conference? o What is the recommended attire for the conference? o What which special events should the board member be made aware? o What is the expected climate? o Send a copy of the conference program Make arrangements for the board member: o Provide the name, phone number, and address of the point of contact for the state conference o Reserve a hotel room for the SNA board member (SNA will pay if this is an official visit.) o Please note that a registration fee should not be charged to the board member for attending. o Ensure that a name tag is ready for the board member and that your volunteers are aware that the board member will be attending. o Arrange local transportation. If the board member is driving, provide a map. If not, let the board member know how they will get from the airport to the hotel. Will you pick them up? Do they need to get a taxi or bus, etc.? Tell the board member what you d like them to do: o Will the board member be installing your state board of directors? o How many people will be installed? What are their names and how do you pronounce the names correctly? o Will the board member be conducting a workshop presentation? You can choose from a list of topics for which National Board Members have presentations ready to conduct. o What topic(s) would you prefer they present? o Who will be the audience? o How many people will be in the audience? o How can the board member request AV needs and provide handouts? 10 During the Visit: Greet the board member when he or she arrives. Provide the board member with: o A conference registration packet o A name badge immediately that has an all-access pass to all events o Information about the room where they will give their workshop or presentation o An opportunity to mingle with your state members, such as by holding a special reception for the board member. o A seat the board member at your House of Delegates. Assist the board member with return-transportation to the airport. After the Visit: Provide feedback to the board member on how things went. This will be helpful to them in planning other visits.
