3 Administrative Responsibilities All staff members should be completely familiar and knowledgeable with the duties of each administrative position within the Athletic Department. Staff members may communicate with the administrators that supervise an area at any given time. Director of Intercollegiate Athletics 1. Organize, manage and administer the intercollegiate athletic program consistent with the philosophy and guidelines of the President, Vice President of Finance and Administration and Board of Trustees of Grand Valley State University. 2. Continually envision and present plans for the future direction and growth of the department, making recommendations to the President and Vice President of Finance and Administration. 3. Serve as a representative to the executive council of the Great Lakes Intercollegiate Athletic Conference, council of Athletic Directors, and the NCAA. 4. Maintain open communication channels with other athletic directors, alumni, booster organizations, news media, students, University officials and members of the athletic staff and general public. 5. Assume the administrative responsibility for all phases of the intercollegiate athletic program. These include scheduling, eligibility, GLIAC and NCAA compliance, personnel direction and evaluation, athletic facility improvement and maintenance, facility management, fiscal affairs, fund raising, promotions, publicity, game administration and other related activities. 6. Prepare and present for approval and adoption the annual budget to the President and Vice President of Finance and Administration. 7. Oversee the administration of the budget so that expenses will not exceed income during the fiscal year. 8. See that all University policies and procedures are applied to purchases, business procedures, records, use of facilities and equipment and all other activities where the University has established policies and procedures as outlined in the University manual. 9. 4 Director of Intercollegiate Athletics Responsibilities (continued): 10. To continually strive for excellence, measured by performance, in all sports for men and women who are participating in the intercollegiate athletic program at Grand Valley State University in conjunction with the GLIAC and NCAA bylaws. 11. To be aware and to encourage all coaches and students-athletes that performance in the classroom is the main purpose of higher education and that the pursuit of knowledge and the acquisition of a degree is the main goal of the student-athlete. 5 Faculty Athletics Representative * This job description is based on the NCAA Division II Faculty Athletic Representative Handbook Appendix A 1. The faculty athletics representative should ensure, either directly or indirectly, that student-athletes meet all NCAA, conference and institutional requirements for eligibility for practice, financial aid and intercollegiate competition. Academic eligibility certifications should be performed by persons outside of the department of athletics, normally by the Registrar s office. These certifications should be periodically reviewed and audited by the faculty athletics representative. The faculty athletics representative approves all Waiver requests submitted to the NCAA or GLIAC. 2. The faculty athletics representative should arrange to have developed, periodic statistical reports on the academic preparation and performance of student-athletes for each sports team. These reports are normally prepared by athletic advising staff. The faculty athletics representative should be knowledgeable about the academic preparation and performance of each sports team and should use such reports to uphold high academic standards and expectations for these team members. 3. The faculty athletics representative should be responsible, either directly or indirectly, for institutional compliance activities or responsibilities, which involve campus entities outside the athletics department. Such entities include, but are not limited to, the following: (a) office of student financial aid, (b) office of admissions, and (c) office of the registrar. The faculty athletics representative should work in concert with the director of athletics to ensure a comprehensive and effective rules education and compliance program on the campus. 4. The faculty athletics representative should be knowledgeable about the NCAA and conference rules related to academic eligibility, transfer requirements, and restrictions and enforcement procedures. He or she should participate, or otherwise be fully informed about, institutional investigations of allegations of rules violations. No infractions report to either the NCAA or a conference should leave the campus until it has been reviewed by the faculty athletics representative. He or she should play a major and direct role in matters that potentially involve major violations of NCAA rules. 5. The faculty athletics representative should have direct contact with student athletes on a systematic and periodic basis. He or she should participate in new student-athlete orientation activities and should interact frequently with student athlete advisory committees. Student-athletes should recognize the faculty athletics representative as a source of information, support and counseling, which is located administratively outside of the athletics department. 6. The faculty athletics representative is responsible to proctor the NCAA coaches recruiting test as often as necessary. 7. The faculty athletics representative is responsible for NCAA or GLIAC scholarship applications or award nominations to ensure that each application is filed accurately, complete and on time. 6 Faculty Athletics Representative * This job description is based on the NCAA Division II Faculty Athletic Representative Handbook Appendix A Responsibilities (continued): 8. The faculty athletics representative should be a senior advisor outside of the athletics department to the chief executive officer on matters related to intercollegiate athletics. Together, with the director of athletics, the faculty athletics representative should formulate and recommend institutional positions on NCAA legislation and other matters affecting, or related to, intercollegiate athletics on the campus. 9. The faculty athletics representative should represent the institution to the NCAA and to athletics conferences. 10. The faculty athletics representative should be an active member of the campus intercollegiate athletics board. 11. The faculty athletics representative reports to the President and provides an annual report of activities to the President, Academic Senate, and the Intercollegiate Athletics Advisory Board. Support: The faculty athletics representative should be provided support services commensurate with the duties and responsibilities of the office. Such support services could include some or all of the following: 1. Release time from teaching responsibilities. 2. Summer support, including the possibility of a fiscal-year contract. 3. Full or part-time secretarial assistance. 4. Access to the admissions, academic and financial aid records of student athletes 5. A travel budget sufficient to support travel to all meetings of FARA, the annual NCAA Convention and any additional or special NCAA meetings. 7 Senior Associate Athletic Director/ Senior Woman Administrator 1. Assist the Athletics Director with the day to day operations of the athletic department. 2. Supervision and assistance of coaches Direct supervision of women s golf, women s soccer, men s and women s track and cross country, men s and women s tennis and men s and women s swimming and diving Assist the Director of Athletics with supervision of all coaches in regard to budget matters, recruiting, traveling, scheduling and personnel Assist all coaches with problems, questions, or concerns. 3. Manage and direct all operations of the athletic and recreational facilities: Supervision of all staff Seek diversity in all staffing (i.e. full time, student and graduate assistants) Coordinate usage of all primary users (i.e. movement science, athletics, intramurals, club sports) for optimal success Oversee contract approvals, reviews and updates Facilitate all scheduling issues 4. Liaison with other University Departments for support services (i.e. Student Life events, Facility Services, etc.) 5. Oversee the administration of the budget for all athletic and recreational facilities: Coordinate revenue generation Resolve budget issues Manage the Maintenance Repair Reserve (MRR) and Capital Maintenance Fund (CMF) 6. Develop and maintain the facilities strategic planning Assess risk management for all facilities Develop best practice policies for all facilities 7. Serve as the Athletic liaison for the construction of the Movement Science/Indoor Recreational (MS/IR) Facility Facilitate the successful integration of the new facility Develop staffing procedures Develop scheduling procedures Successful insertion of the MS/IR into the EMS system 8. 11 Game & Event Operations Manager 1. Manage the Game and Event Operations Budget 2. Oversee and Coordinate communication with the Game Officials for all home athetlic contests 3. Coordinate the hiring, paying and scheduling of game event staff (PA, Scorer, Timers) 4. Supervise part time Assistant Game & Events Operations manager 5. Supervise Student Game Operations staff for game & event operations 6. Coordinate all the home event setup and logistics 7. 12 Assistant Game & Event Operations Manager 1. Supervise and train all student employees. 2. Oversee the equipment room in the Fieldhouse. 3. Deliver all mail to the Fieldhouse personnel. 4. Game day operations for football which includes tarp roll out, set sideline markers, set up Louie (Laker mascot blow up), supervise parking lot E (closed off for visiting team buses, extra vehicles etc), set up team benches, greet visiting teams, and help visiting managers and trainers with equipment. 5. Greet, host, and/or escort game day officials for football, baseball, softball, and basketball. 6. Supervise game day operations staff which include scorers, announcers, and clock operators. 7. Host visiting teams or assign a staff member. 8. Maintain cleanliness in office (FH 58). 9. Maintain and assign fleet of motorized carts. 10. Do game day laundry, other than uniforms. 11. 13 Fieldhouse Management Office Assistant Job Summary: Coordinates all support services for Fieldhouse Management Office. 1. Assist Fieldhouse Manager and Assistant Manager in carrying out office operation responsibilities. 2. Schedule and coordinate interdepartmental, on-campus and community events/functions using the Event Management System (EMS) for Fieldhouse complex. 3. Answer phones, provide information, and route calls to the appropriate persons or departments. 4. Assist the Fieldhouse Manager with office organization, and scheduling of meetings and appointments. Financial Duties and 5. Track and maintain accurate records of expenditures. 6. Process Student Employment timecard system and maintain appropriate records. Office Management: 7. Assist with updating the Fieldhouse Website. 8. Compile data and materials for statistic reports. 9. Prepare meeting materials, minutes, updates and other support functions as needed. 10. Receive, open, and distribute incoming mail. 11. Type memos, letters, and other correspondence and maintain document confidentiality. 12. Create and maintain filing systems both paper or computerized. 13. Responsible for ordering and maintaining departmental office supplies. 14. Make travel arrangements as needed. 15. Responsible for processing of FH membership cards. 16. Responsible for arranging all computer office support for department. 17. Edit correspondence, reports, and materials for publication. 18. Hire, authorize, and train several student office staff and assist with other student staff as needed. 19. Coordinate work orders for food service, media service, and facilities services as needed. 14 Athletic & Recreation Equipment Manager (Adjunct Ap 25 Hours A Week) Physical Areas of Oversight: Recreational Center, Aquatic Center, Fieldhouse Complex MS/IR Building, Outdoor Fields Football Stadium 1. Oversee the Recreational and Athletic Equipment maintenance & repair (over 100 pieces of fitness equipment in the Recreational Center and additional equipment in the ICA weight room) 2. Liason with Daktronics, All-Pro, Magnum, Precor, LifeFitness, Bareman, Tel-Rad for service 3. Locker rental operation in the Fieldhouse 4. Supervise Student Maintenance Staff (8-12 students) 5. Supervise Student Equipment Manager (1 student) 6. 15 Football Equipment Manager (2 positions) 1. Purchase of all equipment that ensures the safety of the player, such as pads, helmets, mouthguards, girdles, practice gear, etc. 2. Inspect equipment regularly to ensure proper function. 3. Coordinate maintenance and reconditioning of helmets and pads with Riddell associates to ensure safety measures and reliability. 4. Coordinate the proper fitting of all safety equipment. 5. Replace and/or repair equipment during games. 6. Maintain accurate inventory of all equipment. 7. Track all equipment issues and returns. 8. Assist coaches with screen printing of apparel items. 9. Oversee practice set-up. 10. Oversee game-day operation of radio headsets and equipment, and issue sideline passes. 11. Oversee loading of buses for away contests. 12. Oversee laundry operations. 13. Oversee student employees. 14. Enforce guidelines to ensure proper cleanliness in locker room. 15. 16 Athletic & Recreation Facilities Assistant (approx 10 hours per week) Physical Areas of Oversight: Indoor MS/IR Building & Track Facility 1. Provide input and research to assist with the scheduling of the MS/IR Building 2. Be the liaison between the ICA teams using the MS/IR Building and the Facility Manager 3. Attend meetings related to scheduling and major facility concerns 4. Assist with events (planning and executing) along with Game and Event Operations Manager 5. Assist with the storage of all equipment inside the MS/IR Building (planning and maintaining once the building opens) 6. 17 Assistant Athletic Director for Compliance 1. Compliance Coordinator Prepare all eligibility from preliminary squad lists. Determine eligibility status according to GLIAC, GVSU, and NCAA rules. Prepare all NCAA squad lists. Determine equivalencies and financial aid dollars are within NCAA guidelines. Request initial-eligibility status of student-athletes from the NCAA Clearinghouse. Request amateurism status of student-athletes from the NCAA Clearinghouse. Prepare initial-eligibility waivers when appropriate. Secure transfer release forms and NCAA waivers when requested. Maintain files on all the above information. Interpret NCAA rules for coaches. Interpret eligibility rules for student-athletes. Interpret rules as requested for parents and others. Administer NCAA drug testing forms. Administer NCAA student-athlete statement. Maintain accurate lists of the NCAA drug testing and student-athlete forms. Initiate two meetings per year with the Compliance Committee (admissions, financial aid and records office) to review GVSU compliance procedures. 2. Chair the compliance committee 3. 18 Associate Athletic Director for Marketing 1. Oversee all areas of marketing, development, promotions and advertising for NCAA Division II athletics program with 19 sports. 2. Conduct cost effective and efficient marketing efforts involving external agencies. 3. Develop and implement major sponsorship programs. 4. Publisher of football and basketball game programs, with assistance from Sports Information Office. 5. Director of advertising sales for programs, scoreboards, schedule cards, brochures and other sources for advertising revenue. 6. Develop co-op program with local companies. 7. Generate new season ticket sales. 8. Develop goals and objectives for revenue development. 9. Develop promotional associations with companies. 10. Establish campaign committees with business and political leaders in the West Michigan area. 11. Speak to groups and organizations and individuals on behalf of the department. 12. Oversee and manage budgeting items connected with marketing and development. 13. Carry out other duties as assigned by the Director of Athletics. 19 Ticket and Fan Development Manager 1. Perform duties related to developing a comprehensive multimedia marketing plan that maximizes ticket revenue (group and season ticket sales) and spectator attendance for varsity football, volleyball, women s soccer, men s basketball and women s basketball programs. This involves soliciting, coordinating and implementing corporate and community programs to promote sports programs. 2. Responsible for management of ticket operation including: Group ticket sales 3. Responsible for delivering student centered, exciting, game day activities. 4. Will be involved in every aspect of game day coordination including: Production activities with corporate partners Game day promotional activities which include public address, music, national anthem Coordinating student spirit activities, and all promotional campaigns 5. Develop and implement special events (i.e. Theme Nights, Start the Mayhem, pep rallies, etc). 6. Oversee both the GVSU Kids Club Program and a student work force. 7. Provide management support including the development and maintenance of the departmental budget, unit and marketing plans, fostering collegial working relationships with university administration and student services departments. 8. Liaison with all spirit groups (Cheerleaders, Dance Team, Band). 9. Carry out other duties as assigned by the Associate Athletic Director for Marketing. 20 Associate Athletic Director for Media Relations 1. Responsible for promoting and reporting all Grand Valley sporting events through the use of brochures, releases, pictures, slides and other materials, to the media outlets in West Michigan and in selected areas of Michigan. 2. Develop and supervise a staff of student employees in statistical services, record keeping, and any other duties as needed. 3. Edit and publish all media guides and recruiting brochures. This includes the Laker Leader newsletter for GVSU athletic boosters. 4. Daily update and upkeep of athletic website. 5. Responsible for filing complete statistical reports to conference and national offices. 6. Release special stories on announcements, appointments, promotions, etc. 7. Arrange press-day sessions for major sports and handle all media requests for interviews and information. 8. Cooperate with, and inform, other areas of the college faculty, administration, alumni and students. 9. Travel with football, basketball and other teams if possible, to assure the best results in media coverage and assist in any way possible. 10. Promote and work for national recognition of outstanding teams and athletes. 11. Develop positive working relationships with the local media. 12. Cooperate with University Communications in developing the University web site and athletic home page. 13. Host media at athletic events and report results. 14. 21 Assistant Sports Information Director 1. Production of athletic publications (volleyball, women's basketball) 2. Media relations (sets up interviews between media and coaches and student-athletes) 3. Primary media contact for volleyball, women's basketball, and softball 4. Statistical record keeping (in-game statistics for football, men's and women's basketball, golf, softball, tennis) 5. Home event management 6. Website administration (updating of rosters, schedules, bio information) 7. Promotion of student-athletes and coaches for conference, regional, and national awards 8. 22 Web Designer & Coordinator 1. Creating original design for and producing print collateral and web graphics for both internal and external communications. 2. Propose and develop ideas, implement features, and assist in maintenance of print and electronic publications using conceptual and creative skills. 3. Coordinate with marketing staff and other areas of the Intercollegiate Athletic (ICA) department requesting graphic designer layout work developing and/or suggesting new ideas and/or modifying existing ideas. 4. Establish and uphold high quality standards of design for online, print and multimedia projects. May also be required to coordinate work of vendors such as media vendors and printers. 5. Assignment as sports photographer to cover games and other ICA events. 6. Editing and distribution of sports photos to media outlets. 7. 23 Academic Adviser for Athletics 1. Organization and supervision of academic support programs and progress for studentathletes. 2. Maintain a current knowledge of university academic rules and procedures, NCAA, and GLIAC rules. 3. Work with the coordinators of tutorial services, the Academic Resource Center, and Career Services in assisting student-athletes with the appropriate support services on campus as needed. 4. Identify and prioritize those student-athletes who fall into the category of academically at-risk and meet with them on a regular basis to develop and carry out individualized academic plans. 5. Assist all student-athletes with course selection, goal fulfillment, and eligibility requirements. 6. Coordinate study hall activities. 7. Assist the Assistant Athletic Director for Compliance in certifying the eligibility of all student-athletes. 8. Monitor the academic progress of all student-athletes. 9. Summarize and report academic performance data of student-athletes at mid-term and at the end of each semester to coaches and the associate athletic director. 10. Work with coaches and student-athletes to continuously improve the retention and graduation rates of student-athletes. 11. Co-Administrative liaison, with the Assistant Director of Athletics for Compliance, to the Student-Athlete Advisory Committee (SAAC). 12. Assist in the recruiting process for all coaches. 13. Assist with the advising of incoming freshmen student-athletes at freshmen orientation. 14. Supervise graduate assistants and interns. 15. Supervise Athletes Who Care Program. 16. 24 Team Physicians The team physicians will be responsible for prescription medication, surgical decisions, injury diagnosis, pre-participation physical exams, and all other medical decisions relating to participation in GVSU intercollegiate athletics for all GVSU student-athletes. Head Athletic Trainer 1. Under the direction of the GVSU Team Physicians, the Head Athletic Trainer will coordinate coverage for prevention, care, treatment, therapy and rehabilitation of all injuries resulting from participation in an organized, sanctioned practice or competition as described by the NCAA rules for all GVSU Student-athletes. 2.
