3 SMART Tasks Responsibility Administration Playing Season Declaration/CAi: The Head Coach maintains their Playing Season Declaration accurately and up to date in the CAi and GameLink (if applicable) by the designated date and throughout the year. Updates any changes within 3 days of notification and approval. Projected missed class count will be submitted to the Associate Athletic Director at least four weeks prior to the first competition. Actual missed class count will be submitted to the Associate Athletic Director at least two weeks after the last competition. Daily Schedule: The Head Coach or designee within their staff maintains an accurate daily practice schedule throughout the year. Seeks prior approval through the Associate Athletic Director within 3 days of proposed changes. Updates the appropriate entities (Facilities, Sports Medicine, team members) of any changes within 48 hours of notification and approval. Team Rules: The Head Coach clearly communicates team rules and behavioral expectations verbally and in written format at the start of the academic year. Reviews elements of those rules and expectations on a regular basis throughout the year. The Head Coach enforces team rules fairly and consistently and accurately and appropriately documents any infractions and counseling/disciplinary sessions with student-athletes. All infractions, counseling and disciplinary actions are clearly documented, with a clear plan of actions, and is reviewed with the student-athlete. The Athletic Administration is involved when a student-athlete is suspended from the team. Assistant Coach Development: The Head Coach actively encourages and creates opportunities for their assistant coaches to develop both personally and professionally. Each assistant coach is provided specific administrative and student-athlete development/coaching responsibilities within the program. Student-Athlete Skill Development: The Head Coach and their staff consistently evaluate their student-athletes athletic abilities, develop a positive, progressive approach to enhance those abilities and provide the student-athlete the opportunity to participate in their development. All practices, instructional skill sessions and conditioning sessions are well organized, progressive and appropriate for student-athlete development at that time. Code of Conduct: The Head Coach and their staff comply with the Athletic Department s Code of Conduct and Leadership points of emphasis and the College s Code of Ethics. Athletic Achievement: The Head Coach and their staff work to continuously advance the success of their program with the goal to win the conference championship and advance the team and/or individuals to NCAA post-season competition. Student-Athlete Well-Being: The Head Coach and their staff engage in

4 collaborative discussions, on a regular basis, with their student-athletes regarding student-athlete well-being issues, such as travel or meal concerns, academic demands or program administration. The Head Coach has some form of a leadership council established annually within the program. Student-Athlete Development: The Head Coach and their staff consistently communicate, in a positive, motivating manner, to student-athletes about enhancing their athletic and academic performance and adhering to the mission and expectations of the Athletic Department and College in general. Meeting/Project Engagement: The Head Coach and their staff attend and actively participate in monthly departmental staff meetings, coaches councils, departmental correspondence and departmental projects. Institutional/Community Service: The Head Coach and their staff encourage and assist their program in engaging in at least one institutional/community service project annually within the campus/ local community. Professional Development: The Head Coach and their staff seek opportunities within the Athletic Department, College and their professional organization to develop professionally. Comp Tickets: The Head Coach or designee within their staff submits all requests for complimentary tickets for home events for student-athlete s guest to the Ticket Office, in accordance to NCAA guidelines, within the designated timeframe prior to an event. Business Office Budget Management: The Head Coach submits an accurate, complete grant in aid and operating budget and keeps expenditures within that budget annually. Purchasing: All purchase and/or service requests are entered into the eva system for approval prior to purchase. Invoice Verification: All invoices from purchase requests and services are verified and returned to the Business Office for payment processing within 7 days of receipt. Reimbursement: All requests for reimbursement are made prior to a purchase with an accurate cost estimate. All submissions after a purchase include an itemized receipt. Travel Authorization: All Travel Authorization/Advance Request forms are submitted to the Business Office, complete and correct, including hotel exemption request when appropriate, at least 48 hours prior to departure. All requests for an advance are made at least 2 weeks prior to needing to pick up the advance check. Travel Itinerary: A complete and accurate itinerary of travel will be

5 submitted to the Business Office, on the appropriate template, within 24 hours of the scheduled departure. Pre-approval will be requested within 48 hours for any exceptions or deviations to travel policies. Check Card Statements: All credit card statements are submitted to the Business office, complete and correct, with all supporting itemized receipts monthly, prior to the designated deadline. Travel Expenses: All travel expenses, especially lodging and meal cost, are maintained within the established State guidelines. If expenses are anticipated to exceed state guidelines, prior authorization is requested through the Business Office. Travel Expense Reimbursement: All Travel Expense reimbursements are submitted to the Business office, complete and correct, with all supporting itemized receipts and documents, within 2 weeks of the completion of the trip. Use of Personal Vehicles and Rental Cars: When available, the State car or an Enterprise Rental Car will be utilized instead of a personal vehicle and a request for mileage reimbursement for all official business will be submitted. Compliance Admission Watch List: Submits all appropriate paperwork to the Compliance Office for a PSA evaluation within the designated timeframe and maintain accurate admission lists for application status, referral use, and deposit information throughout the admission process. Official Visit Pre-Approval: The Head Coach or designee within their staff, submits the Official Visit pre-approval form to the Compliance Office, complete and correct, at least three business days prior to the start of the desire date of the official visit. Post Official Visit Expense Reconciliation: The Head Coach and their staff submits the Post Official Visit expense form to the Compliance Office, complete and correct, at least five business days after the date of the official visit. Roster Management: The Head Coach or designee within their staff keeps their official squad list accurate and current with the Compliance Office prior to and through the academic year. All drop slips are submitted to the Compliance Office within 7 days of the student leaving the team. Rules Education: The Head Coach and their staff do not commit any major or secondary NCAA rules violations. The Head Coach and their staff passes the NCAA recruiting exam by July 31 each year, for continuing coaches, or within 3 weeks of hire date for new coaches. The Head Coach or their designee within their staff, participates in the monthly coaches staff meeting (except when on team travel) compliance quiz and other educational sessions as required. A coach may be held financially responsible for fines due to a rules violation.

6 Recruit Comp Tickets: The Head Coach or designee within their staff, submit all requests for complimentary tickets for home events for recruits to the Compliance Office, in accordance to NCAA guidelines, within the designated timeframe prior to an event. Recruiting: The Head Coach will have an active role in the recruiting process of all prospective student-athletes. At a minimum reviewing their academic and athletic achievements and engaging in appropriate conversations with the prospect and their parents in order to make a determination if the prospect could be successful, academically and athletically at William and Mary as well as being compatible with the program s goals and philosophy. Fund Raising Contributions: The Head Coach or designee within their staff, submit all contributions, miscellaneous income and/or gift-in-kind donations within 7 days of receipt to the Tribe Club for deposit and acknowledgement. Alumni Reunions/Activities: The Head Coach and their staff organize and host a reunion each year of their former student-athletes, coordinated through the Tribe Club. Program Newsletters: The Head Coach or their designees, produces and sends, via either or regular mail, at least two newsletters a year to alumni and supporters of their program. Fund Raising Referrals: Each year, the Head Coach submits the names and information about alumni, student-athletes parents and grandparents, friends of the program who are prospective donors to the Tribe Club. Strength and Conditioning Strength & Conditioning Program Development: The Head Coach or designee within their staff, meets with the Strength coach at least twice a year to provide specific input regarding student-athlete and team performance needs to be incorporated in the Strength and Conditioning program. Program Consistency: The team maintains a consistent schedule for strength & conditioning training sessions with no absences.

7 Academic Support Team Academic Performance-GPA: The program maintains a team GPA above 3.0 each semester and an APR above 970. Team Academic Performance-APR: The program maintains a team APR above 970. Grade Reports: Within 7 days of receipt, the Head Coach or designee within their staff, will review and meet with student-athletes of concern to discuss their academic progress. Recruit Meetings: The Head Coach, or designee within their staff, provides adequate time for Academic Coordinator to meet with each recruit and provide feedback regarding their academic preparedness for this institution. Appointments are scheduled no later than one week prior to the event. Academy/Study Hall Utilization: The Head Coach and their staff insure the indicated student-athletes attend the required sessions and address issues of non-compliance immediately. Sports Medicine Athletic Trainer Meetings: The Head Coach or designee within their staff has consistent attendance at all scheduled weekly meeting with the athletic trainer at the designated time and provides accurate information regarding administrative aspects of their program. The Head coach or their designee within their staff engages in a collaborative discussion regarding studentathlete s injuries, to plan and follow the medical recommendations. Weekly Practice Reports: The Head Coach and their staff submit the NCAA weekly practice reports, complete and accurate, by the indicated date each month.

8 Sports Information Media Guide Production: The Head Coach meets with the Sports Information staff to verify information and proof media guide in a timely manner. Team Picture Production: The Head Coach coordinates a date and time with the Sports Information staff within seven days of desired date. Post-Game Quotes for Game Stories: The Head Coach coordinates with the Sports Information staff to provide post-game quotes and/or event information within two hours after the event. Facilities and Operations Event Requests: The Head Coach and their staff submit the Facility Request form, complete and correct, to the Facilities and Operations Office no later than 7 days prior to the event. Van/Vehicle Requests: The Head Coach and their staff submit the Van/Vehicle Request form, complete and correct, to the Facilities and Operations Office no later than seven days prior to departure. If a state vehicle is unavailable, approval for a rental vehicle or personal vehicle use will be requested through the Business Office, at least five days prior to departure. Maintenance Requests: The Head Coach and their staff submit a written Work Request, complete and accurate, to the Facilities and Operations Office immediately upon identifying a need and no later than 7 days prior to the desired date of completion. Program/Facility Enhancement: The Head coach engages in a collaborative discussion with the Assistant Athletic Director for Facilities and Operations and the Associate Athletic Director regarding development of a long range plan for the enhancement of their program and facilities.
