1 CITY OF AMERICAN CANYON SUBJECT Director s Report SUBMITTED BY PARKS & COMMUNITY SERVICES AGENDA SUMMARY REPORT Randy Davis, Parks and Recreation Director BACKGROUND AND ISSUES Meeting Date: PARKS & RECREATION DIRECTOR REPORT ITEM: 1 Enclosed is the Monthly Departmental Report. The Departmental Report includes a summary of my activities over the last month. Since the Commission s April 8, 2010, City Council has taken the following actions related to the Parks and Recreation Department: Proclaimed at Bike to Work Day. Accepted the Napa River Bay Trail project and the Wetlands View Area enhancement project. Adopted a budget to operate the Senior Multi-Use Center the last two months of FY Approved the naming of the future trail around the closed landfill the Congressman Mike Thompson Loop Trail. Adopted the Napa Valley Vine Trail Case Study and authorized a sub-committee of the Open Space Advisory Committee to work with the Vine Trail Coalition and City Staff to develop a recommendation to the City Council regarding the proposed future alignment of the Vine Trail through American Canyon. Adopted 4 th of July Festival/Special Event Financial Policies and Procedures. The Council did not make a decision regarding the new location of Friday Nights at the Plaza. Council asked staff to come back with additional information focusing on City Hall, Main Street Park, and the Phillip West Aquatic Center parking lot. Commission Members are encouraged to attend the Napa River Bay Trail grand opening on June 5, 2010 at 10:00 a.m. at the Wetlands View Area (corner of Eucalyptus Drive and Wetlands Edge Road). The Summer Activities Guide was delivered around May 3. 2 Parks and Recreation Director s Report The Napa River Bay Trail officially opened to the public on April 22, The Community Recognition Ball was held on April 10, 2010 and was attended by over 230 people. The 4 th of July Committee met on April 8 and May 6. The Committee has determined that the Festival at the park will be from 10:30 a.m. to 6:00 p.m. on Sunday, July 4. Completed reports for the May 4, 2010 City Council meeting regarding Friday Nights at the Plaza (with Roddrick Sweeney) and the Vine Trail Case Study adoption. Continued work on the Napa River Bay Trail grand opening ceremony which will be held on April 5, Maureen Gaffney from the San Francisco Bay Trail project will be a guest speaker. Worked on preparations to open the Senior Multi-Use Center on May 10. The grand opening ceremony will be on May 8 at 10 a.m. and meals will be served to seniors beginning on May 17, Completed agenda and minutes for the April 22, 2010 Activities Committee meeting. Completed the agenda packet for the May 5, 2010 meeting of the Open Space Advisory Committee. Assisted Barry Christian and Todd Novak by purchasing supplies for the Scout Conservation Day at Newell Open Space. Special thanks to all the volunteers that assisted with Scout Conservation Day on May 1, Completed and mailed Requests for Proposals for security and a sound technician for the 4 th of July festival. Completed the agenda packet for the meeting of the Parks and Community Services Commission. Attended a meeting with City staff, Napa County Transportation and Planning Agency staff and Napa Valley Unified School District staff regarding planning efforts for the opening of American Canyon High School.

3 Page 2 Discussed potential projects for the Capital Improvement Program with Public Works Department staff. Reviewed the 90% plans for the Kimberly Flood Control, Water Quality and Parks Project and met with City staff and GSM Landscape Architects staff. Served on an interview panel for the Town of Yountville. Yountville is hiring a new Parks and Recreation Director. Researched and ordered a bronze plaque for the Phillip West Aquatic Center flag pole. Met with Cynthia Ripley several times regarding the Senior Multi-Use Center, Napa River and Bay Trail, and Wetlands View Area projects. Met with Erin Booth-Sahs, Aquatics Supervisor, regarding aquatics programs and pool operations. Met with George DeOcampo, Parks Supervisor, on an ongoing basis to discuss park maintenance activities and issues. Met with Henry Davidson, Building Maintenance Worker, to discuss building maintenance plans and tasks. Met with Recreation Supervisor, Roddrick Sweeney, numerous times regarding recreation programs, the Senior Multi-Use Center and special events. Attended Management Team meetings and a Leadership Team Meeting. Recreation Supervisor s Report Shopped for program supplies. Met with Program Coordinator Kevin Duncan regarding upcoming summer youth basketball league. Met with Director Randy Davis to discuss upcoming events and programs. Continued to plan upcoming special events. Held monthly pinochle event. Met with potential contracted instructor Monica Girabaldi to the possibility of offering Zumba Gold. Zumba Gold is specifically designed for seniors.

4 Page 3 Held the 2010 Annual Spring Egg Hunt. Over 400 children participated. Met with Kimberley Leslie and finalized that we will be offering a Dog Training class in American Canyon. Class has been confirmed and will be held at the Dog Park beginning in May. Met with Program Coordinator Lori Townsend to discuss the Senior Center Grand Opening event. Held the Annual Healthy People Healthy Planet event. Over 300 people attended the event. Met with Sindy Biederman of ACTS to discuss various aspects of the Memorial Day event. Sindy indicated that she has secured various donations to the event. Met with Randy Davis and Leslie Moore of the Senior Nutrition Program to discuss offering the program at the new Senior Multi-Use Center. Met with Dalton Piercey to discuss the possibility of him providing DJ Services at Friday Nights at the Plaza. Met with Program Coordinator Kevin Duncan regarding the possibility of offering an adult softball league in American Canyon. Spoke with North Bay Officials Association representative Jim Haas regarding his group providing umpiring services for the proposed adult softball league. Held meeting with residents to discuss proposed softball league. 7 people attended the meeting. The plan is to move forward with the idea and begin play in late June. Held our monthly morning get-together with staff from American Canyon Middle School. Met with business owner Alice Tham to discuss the possibility of organizing a community wide farmer s market in the future. Attended a Youth Leadership meeting at American Canyon Middle School. Attended a Safety Risk Committee meeting at City Hall. Met with American Canyon resident and martial arts instructor Jesse Corpus regarding the possibility of offering programming through the City of American Canyon.

5 Page 4 Met with ACMS Athletic Director Beth Goff regarding the coordination of activities in the gym. Attended a Napa County Farmer s Market Event Organizer s meeting in Napa. Continued to work on finalizing a calendar for programs and activities that will be offered at the Senior Multi-Use Center. Administrative Assistant s Report Attended and prepared the minutes of the April 7, 2010 Open Space Advisory Committee meeting. Prior to the meeting I compiled, copied, and delivered the agenda packets for the meeting. Attended and prepared the minutes of the April 8, 2010 Parks and Community Services Commission meeting. Prior to the meeting I compiled, copied, and delivered the agenda packets for the meeting. Submitted the draft and final copies of Parks & Recreation Department reports for the April 20, 2010 and May 3, 2010 City Council meetings. Processed invoices and payment requests. Prepared and compiled Department information for the May water bill flyer. Updated the Parks & Recreation Department website. Compiled and prepared the Department Report for the month of April. Oversaw the daily operation of the front office. Verified monitor coverage for the Community Center Gym rentals. Finished the preparation of the Summer Activities Guide. Residents received the Guides around May 3, Worked with staff, volunteers, entertainment, and the caterer at the 11 th Annual Recognition Ball. The teen staff and volunteers did an excellent job. Attended the Management Team Meeting on Thursday, April 8, Showed customers the Recreation Center for possible rental..prepared and entered classes into ActiveNet for the Summer Guide.

6 Page 5 Aquatic Program Report Tuesday/Thursday Swim Lessons: The 5:20 p.m. 5:55 p.m. and the 6:00 p.m. 6:35 p.m. (levels I VI) evening lessons began April 6 and ended April 29. The 5:20 p.m. class had 29 participants. The 6:00 p.m. class had 30 participants. The total number of Tuesday/Thursday participants for the month of April was 59. Saturday Swim Lessons: Session II began March 20 and will end May 15. The 10:00 a.m. 10:35 a.m. class, levels I VI has 25 participants. The 10:40 a.m. 11:15 a.m. Parent and Me class has 12 participants. The Adult and Teen class held at the same time has 4 participants. We have started Pre-School lessons for ages 3 and 4. Level lessons will now begin at age 5. The class is limited to 4 students. We have 2 times set and have 8 students. The total number of participants for the Saturday Session II is 49. Private Lessons: The month of April had 21 evening private lessons and 12 Saturday private lessons for a total of 33. ACMS Lessons: The ACMS eight grade class had swim lessons for three weeks in April. Close to 200 students attended. Fitness Swim: For the month of April there was an average of 8 participants for the 12:00 noon -1:00 p.m. fitness swim and an average of 8 participants for the 6:00 p.m. - 7:00 p.m. fitness swim. The Saturday fitness swim time average was 9 participants. The total number of participants for the month of April was 240. Water Aerobics: For the month of April the evening Water Aerobics class had an average of 8 participants. The morning class had an average of 13 participants. The total number of participants for April was 211. AHI Swim Team: The AHI Swim Team began practice April 16. This will be their first season as an independent organization. They are scheduled for a time trial meet on May 22. Trainings: Staff meetings are scheduled for Thursday evenings. We have been doing written exams. Pool Rentals and Reservations: There was one open swim pool party in April. Open Swim: We are open Saturdays from 1:00 p.m. to 4:00 p.m. The total attendance for the month of April was 284. Maintenance: We have a new ADA lift to ensure accessibility into the pool and have been gathering information on pool re-surfacing.
